Understand the OEM specification.
Recognize the impact on product and development early.

An OEM specification brings hundreds of requirements, customer-specific standards, and a fixed response deadline, and sales, engineering, quality, and procurement assess them in parallel. DECOTA consolidates those assessments and shows which requirements existing parts and variants cover and where development effort arises.

WHY NOW

Why technical requirements deserve closer attention

Three developments are hitting suppliers at once, changing how much effort a dependable response takes.

Specifications keep getting more detailed

Technical parameters, test procedures, and customer-specific standards are spread across chapters, appendices, and data sheets. In the comment lists each department works on its own, and the versions then have to be merged.

Effort per inquiry matters

Price pressure and upfront investment in development and tooling meet inquiries that run through several rounds. Recurring questions about coverage and evidence sit in inboxes while the RFQ deadline runs down.

Keep hard-won experience available

Which configuration once met a requirement, and where its limits lie, is knowledge held by a few experienced colleagues. When they leave the company, assessing similar inquiries starts over.

AN ILLUSTRATIVE PROCESS

From OEM specification to an aligned proposal response

Sales, engineering, quality, and procurement assess customer requirements and consolidate their results into one joint response.

01

Review customer documents and decide on participation

The inquiry reaches sales through the customer portal or by email. The specification, volumes, schedules, and delivery terms are reviewed. The units involved assess whether product strategy, capacity, and commercial conditions fundamentally fit.

02

Capture and distribute requirements

Requirements from specifications, appendices, and customer-specific standards are transferred into comment lists. The responsible departments assess their items and record compliance status, questions, and the evidence required.

03

Clarify product coverage and development needs

Engineering and quality review existing parts, variants, test reports, and previous customer approvals. Deviations are discussed with the relevant experts. That produces the modifications needed, additional testing, and open questions for the customer.

04

Align sub-suppliers and costing

The relevant requirements are passed on to sub-suppliers. Their responses have to be consolidated with material costs, tooling effort, development work, and schedules. New customer revisions trigger further rounds of alignment.

05

Release the response and track changes

The proposal and the comment list are approved internally and submitted to the customer. Further negotiation rounds have to feed back into the assessment. Once the contract is awarded, engineering and quality need an unambiguous basis for implementation and approvals.

The challenge is keeping customer revisions, technical assessments, and supplier commitments consistent across several rounds of work.

WITH DECOTA

What improves for your team

UNDERSTAND

Spot requirements and contradictions earlier

DECOTA captures the requirements from the specification, the appendices, and the applicable standards and links each one to its source passage. Your team sees contradictory statements and open items before commenting and costing begin.

CHECK

Verify technical statements traceably

Every assessment can be traced back to the passage in the original document. When the OEM follows up, you can substantiate what a commitment refers to and which document revision it was based on.

MATCH

Reuse reviewed assessments

For every requirement, DECOTA finds similar requirements from earlier inquiries along with the assessment made at the time. Recurring items are reviewed and adopted rather than worked out again.

FOR DECISION MAKERS, IN SHORT

You identify technical deviations before they turn into binding commitments. Engineering, quality, and costing work from the same assessment basis. Proven answers remain available for new inquiries and take pressure off your specialists.

Frequently asked questions

How do we reuse what we learned from similar inquiries?

Validated requirements, assessments, and proven answers remain as a shared knowledge base. For similar inquiries, DECOTA suggests matching content from earlier projects. Your team checks whether it fits the current product revision and the new conditions.

Our specifications consist largely of tables and technical parameters. Does that work?

DECOTA supports capturing requirements and technical parameters from the documents you provide. In the PDF viewer, your team can review and complete values, units, and their context directly at the source. For complex tables or poorly legible scans, we review extraction quality using your own sample documents.

We pass requirements on to sub-suppliers. Does DECOTA help with that?

From the assessed requirements you compile a package for an assembly whose items point back to the customer requirement. You assign the responses to the individual requirements. Sending it out runs through your existing channels.
